How to prepare a bulk ingredient sourcing enquiry

A sourcing enquiry is most useful when it gives the supplier enough context to check availability and ask the right follow-up questions. You do not need a complete procurement package to start, but avoid leaving the key facts blank.

The essential brief

Identify your company, contact, product required, format, estimated quantity, intended application and destination. Add the timing you are working toward and whether the request is for a trial, a one-off purchase or an ongoing programme.

If you are comparing several ingredients, make each request specific. A supplier can respond more accurately to “10 kg trial of lemon peel strips for a fruit tea blend” than to a general request for citrus products.

The technical and commercial questions

Say whether you need a specification, sample, documentation, packing information or a quotation framework. Mention any non-negotiable criteria you already know, but distinguish them from items still under development.

Ask for factual documentation that your relevant team can evaluate, rather than general statements about health outcomes or destination-market acceptance.

Use the next step to close gaps

A complete response may require more than one exchange. We may need to clarify seasonal availability, acceptable format, pack configuration or the documents you require. Treat these questions as part of responsible sourcing, not as a delay.

When you are ready, use the Grandstyle Global quote form to organise the basics. A quote request is a request for discussion, not an order or a binding offer.
